Privacy Policy

Our Privacy Commitment
At Adrta Technologies ("Adrta", "we", "us" or "our"), we are committed to protecting the privacy and security of your information. As a B2B software provider, we understand that you entrust us with your organization's data, and we take that responsibility seriously. We collect only the minimum information necessary to provide our services effectively and maintain the security of your account.
Unlike many software providers, we do not monetize your data through advertising or third-party sales. Our business model is straightforward: we provide software solutions to businesses, and our revenue comes solely from the services we deliver to you.
Scope of This Privacy Policy
This Privacy Policy applies comprehensively to all products, services, and digital properties operated by Adrta Technologies. This includes our flagship Zentixs Suite of software applications, all associated websites that link to this policy, our web-based software platforms, mobile applications, application programming interfaces (APIs), and any other digital services we provide to businesses for their internal operations.
The policy covers both direct interactions with our services and indirect data collection that occurs as you use our software. Whether you are accessing our services through a web browser, mobile device, desktop application, or third-party integration, this Privacy Policy governs how we handle your information. It applies to all users within your organization who have been granted access to the Zentixs Suite, regardless of their role, department, or level of access.
This Privacy Policy also extends to information we collect when you visit our marketing websites, download resources, contact our support team, or engage with us through any official communication channel. However, if any of our products or services have a separate, specific privacy policy, that separate policy will take precedence for those particular offerings.
We have structured this Privacy Policy to provide you with a clear understanding of our data practices. It is organized into three main sections for clarity. Part I addresses information that Adrta Technologies directly collects and controls, which includes user account information and usage data. Part II covers information that you, as a business customer, entrust to us for processing on your behalf, which remains under your ownership and control. Part III contains general provisions that apply to both categories of information, including our security commitments, legal obligations, and procedures for updating this policy.
Part I – Information We Collect and Control
What Information We Collect
We collect only the information necessary to create and maintain your account, ensure security, and provide our services.
Information You Provide to Us
Account Registration: When you create an account or are added as a user by your organization, we collect specific information necessary to establish and maintain your account within the Zentixs Suite. This includes your username, which serves as your unique identifier for logging into the system, and your password, which we encrypt and store securely using industry-standard cryptographic methods. We also collect your full name, employee code, branch assignment, department, designation or job title, location, and email address. These fields marked as mandatory are essential for several important purposes: they authenticate your access to the system, identify you within your organization's hierarchical structure, enable us to implement proper access controls based on your role and department, and allow us to communicate with you about critical account matters and service updates. This information forms the foundation of your user profile and helps ensure that the right people within your organization have access to the right features and data.
Information We Collect Automatically
Usage Information: When you use our software, we automatically collect certain technical and operational information to ensure the security and optimal performance of our services. This includes the times and dates when you log into the system, the IP addresses from which you access our services, your browser type and version, information about the device you're using, the specific features and modules you access within the Zentixs Suite, and the duration of your sessions. This automated data collection serves several critical functions. It helps us monitor and continuously improve system performance, identify and resolve technical issues before they impact your work, ensure the security of your account by detecting and preventing unauthorized access attempts, and understand usage patterns that inform how we can enhance the functionality and user experience of our software. We treat this information with the same care and security as your account information.Cookies and Similar Technologies: We use essential cookies to maintain your session and remember your login status. We do not use tracking cookies for advertising or marketing purposes
How We Use Your Information
We use the information we collect for purposes that directly support the delivery and improvement of our services to you and your organization. Primarily, we use your information to provide access to the Zentixs Suite and enable you to utilize its full range of features effectively. This includes creating and maintaining your user account, ensuring the security of that account through ongoing monitoring, and providing you with the specific permissions and access rights appropriate to your role within your organization.
We also use your information to communicate with you about matters essential to your use of our services. This includes sending important service notifications such as system updates or maintenance schedules, security alerts that may affect your account, and account-related messages including password change confirmations and renewal reminders. When you reach out to us for assistance, we use your information to respond to your inquiries and provide the technical support you need to resolve any issues you may encounter.
From a security standpoint, we actively use your information to detect and prevent unauthorized access to your account, identify potential fraud or security threats, and maintain the overall integrity of our platform. We analyze usage patterns and technical data to understand how our software is being used, which helps us identify areas for improvement and develop new features that better serve your needs.
Finally, we may need to process your information to meet our legal and regulatory obligations. This includes maintaining records as required by law, responding to valid legal requests, and ensuring our operations comply with applicable data protection regulations. In all these uses, we are guided by the principle of using only the minimum information necessary to accomplish each specific purpose.
Legal Basis for Processing
Our legal basis for collecting and processing your information depends on the specific data involved and the context in which we collect it. In most cases, we process your information because it is necessary to fulfill our contractual obligations to your organization. When your organization subscribes to the Zentixs Suite or any individual Zentixs Software Application , we need certain information about you as a user to actually provide the services that have been contracted for. Without this information, we would not be able to create your account, grant you access, or deliver the functionality your organization has purchased.
In other instances, we process information based on our legitimate business interests, provided these interests are not overridden by your fundamental rights and freedoms related to data protection. For example, we have a legitimate interest in maintaining the security of our platform, improving our services based on usage patterns, and communicating with users about important service matters. We carefully balance these interests against your privacy rights to ensure our processing remains fair and appropriate.
Where required by applicable law, we obtain your explicit consent before processing certain types of information. When we rely on consent as our legal basis, you always have the right to withdraw that consent at any time. However, withdrawing consent will not affect the lawfulness of any processing we conducted before you withdrew it, and in some cases, withdrawal of consent may impact our ability to provide certain features or services to you.
There may also be situations where we are legally required to process your information to comply with a legal obligation, or where processing is necessary to protect vital interests, either yours or those of another person. In all cases where we rely on a legal basis other than contractual necessity or consent, we are committed to clearly explaining what that legal basis is and why it applies to the particular processing activity.
Who We Share Your Information With
We want to be absolutely clear about our approach to sharing your information: we do not sell, rent, or trade your personal information to third parties under any circumstances. Our business model is based on providing valuable software services, not on monetizing user data. We share your information only in specific, limited circumstances that are necessary to deliver our services or fulfill our legal obligations, and only with parties who are contractually required to maintain appropriate confidentiality and security measures.
Within your organization, information you provide is accessible to administrators and other users according to the permissions and access controls that your organization has established. This is necessary for the collaborative features of the Zentixs Suite to function properly and for your organization to manage its users effectively.
We may engage carefully selected third-party service providers to help us deliver our services to you. These might include cloud hosting providers who maintain the infrastructure on which our software runs, email delivery services that send you important notifications, security and monitoring tools that help us protect your data, and customer support platforms that enable us to assist you effectively. These service providers are authorized to use your personal information only to the extent necessary to provide their specific services to us, and they are contractually bound to protect your information and use it only for the purposes we specify.
In certain circumstances, we may be legally required to disclose information. This could occur if we receive a valid court order or other legal process, or if disclosure is necessary to comply with applicable laws and regulations, meet national security requirements, or protect the rights, safety, and security of Adrta Technologies, our users, or the public. We carefully evaluate all such requests and disclose only the minimum information necessary to fulfill the legal requirement.
In the unlikely event that Adrta Technologies undergoes a business transfer such as a merger, acquisition, or sale of substantially all our assets, your information may be transferred to the acquiring entity as part of that transaction. Should this occur, we will ensure that the acquiring entity is legally bound to honor the commitments made in this Privacy Policy. We will notify you via email and through a prominent notice on our website of any such change in ownership, any changes in how your information will be used, and any choices you may have regarding your information.
Data Retention
We retain your personal information for as long as your account remains active or as needed to provide services to your organization. When your account is terminated:
- • Active data will be permanently deleted from our production systems within 12 months
- • Backup data will be permanently deleted within 12 months after removal from production systems
- • Some information may be retained longer if required by law or for legitimate business purposes (such as resolving disputes or enforcing agreements)
Your Rights
You have important rights regarding the personal information we hold about you, and we are committed to honoring these rights regardless of where you are located. You have the right to access your personal information, which means you can request a copy of the data we hold about you, including information about its source, the purposes for which we process it, how long we retain it, and with whom we share it. If you discover that any of the information we hold about you is inaccurate or incomplete, you have the right to request that we correct it. You can also ask us to add supplemental information to your profile to ensure it accurately reflects your current circumstances.
In certain situations, you have the right to request that we delete your personal information. This right applies when the information is no longer necessary for the purposes for which we originally collected it, when you withdraw consent that was the basis for processing, when you object to processing and we have no overriding legitimate grounds to continue, or when we have processed your information unlawfully. You also have the right to request that we restrict how we use your information in specific circumstances, such as when you contest the accuracy of the data or have objected to our processing while we verify whether we have legitimate grounds to continue.
Where we process your information based on your consent or to fulfill a contract, and the processing is carried out by automated means, you have the right to receive your personal information in a structured, commonly used, and machine-readable format. You also have the right to have this information transmitted directly to another service provider where technically feasible. You may object to our processing of your information in certain circumstances, particularly when we are relying on legitimate interests as our legal basis or when we are processing your information for direct marketing purposes.
If you have concerns about how we handle your personal information and feel that we have not adequately addressed them, you have the right to lodge a complaint with the appropriate supervisory authority in your jurisdiction. This right ensures that there is an independent body that can investigate your concerns and take appropriate action if necessary.
To exercise any of these rights, please contact your organization's administrator or email us directly at legal@adrtatech.com. We will respond to your request within a reasonable timeframe and may need to verify your identity before processing certain requests to ensure we are protecting your information appropriately.

Part III – General Provisions
Security Measures
We take the security of your information very seriously and have implemented comprehensive measures across technical, administrative, and physical domains to protect the data you entrust to us.
From a technical perspective, we employ encryption to protect your data both when it is being transmitted over networks and when it is stored on our servers. We use secure authentication mechanisms to ensure that only authorized individuals can access accounts, and we keep our systems up to date with regular security patches and updates to protect against known vulnerabilities. Our infrastructure includes sophisticated intrusion detection and prevention systems that monitor for suspicious activity and can respond automatically to potential threats.
On the administrative side, we invest heavily in training our employees on data protection principles and best practices. We implement strict access controls that ensure employees can only access the information they need to perform their specific job functions, and we maintain detailed logs of who accesses what data and when. We conduct regular security audits to identify and address potential weaknesses in our systems and procedures. We have also developed comprehensive incident response procedures so that if a security event does occur, we can respond quickly and effectively to minimize any impact and keep you informed.
Our physical security measures include housing our data in secure data centers with restricted physical access, environmental controls to protect against physical threats like fire or flooding, and robust backup and disaster recovery systems to ensure your data remains available even in the event of a catastrophic failure.
For detailed information about our security practices, please contact legal@adrtatech.com.
International Data Transfers
As a provider of business software services, our operations may involve the transfer of data across international borders. When you use the Zentixs Suite, your information may be processed and stored in different countries depending on where our servers and service providers are located. We understand that different countries have different data protection laws, and we take this seriously.
When we transfer your data to other countries, we ensure that appropriate safeguards are in place to protect it. These safeguards may include standard contractual clauses that have been approved by relevant data protection authorities, participation in recognized data protection frameworks that establish adequate levels of protection, and the implementation of strong encryption and security measures that protect your data regardless of where it is located.

We may disclose your information when we are required by law to do so, such as in response to a valid court order, subpoena, or other legal process. We may also need to disclose information to comply with applicable laws and regulations, meet national security requirements, or respond to lawful requests from governmental authorities.
Beyond legal requirements, we may disclose information when we believe in good faith that such disclosure is necessary to protect important interests. This includes situations where we need to protect our own rights, property, or safety, as well as the rights, property, or safety of our users or the general public. We may also disclose information when necessary to prevent fraud, investigate suspected illegal activity, or enforce our Terms of Service and other agreements.
When we receive requests for information disclosure, we carefully evaluate each request to ensure it is valid and legally sufficient. We disclose only the minimum information necessary to fulfill the legal requirement or protect the relevant interests. Where legally permissible, we will make reasonable efforts to notify you before disclosing your information in response to legal process, giving you an opportunity to seek protective measures if appropriate.

We believe in transparency, so we want you to always know what our current privacy practices are and to have adequate notice of any significant changes.

Your continued use of our services after the effective date of changes constitutes your acceptance of the updated Privacy Policy.
